Video and Audio Decision Tree | Digital Accessibility Office

Choose the type of video you will be using:*

An upcoming live, online video event, conference, or training.
An already recorded (pre-recorded) video WITH audio.
An already recorded (pre-recorded) video with NO audio.
Audio-only file (e.g., a podcast).

Note: Meeting hosts can tell members of the public to ask for connection information rather than publishing a link to the meeting.

You must also include an accommodation request statement that asks participants about their accessibility needs. A statement might read: “Please let us know as soon as possible if you need any accommodations or services to take part in this event.”

The registration form should include a place for registrants to note the accommodations or services they need. We recommend asking registrants who ask for captioning whether they need a live human captioner (Communication Access Realtime Translation, or CART) or automatic captions.

We recommend using live automatic captions to make your event inclusive to everyone, but you may not need to hire a live human captioner for your event.

Note: If your video includes charts, graphs, or other visual elements not described in the audio, you will need to create a second version of the video with audio description. Audio description helps users who can hear, but not see, your video. This may result in two versions of the same video that you will need to manage. You can script the description of these visual elements into your main video to avoid the need for a second version.
